Edit a submission

Change a paper's title, abstract, keywords, bio, track, submission category and co-authors from the Edit Submission page, and leave admin notes. Decisions are recorded on the Submission page.

Purpose

The Edit Submission page lets you correct or complete a paper on the author's behalf: fix a title, move a paper to the right track, change its submission category, or fix a co-author's email. Changes save to the paper directly; the author does not need to resubmit.

When you use it

  • An author asks you to fix a typo in the title or abstract.
  • A paper was submitted to the wrong track, or with no track.
  • A paper was submitted under the wrong category (for example Short Paper instead of Full Paper).
  • A co-author is missing, or has a wrong name or email.

Walkthrough

    In the Program Chair Console, open Submissions → All Submissions and click the paper's title (or its View & Edit Submission icon). This opens Submission Details.

    Click Edit. The Edit Submission page opens with the paper's current values filled in.

    In the information section (its heading names the submission type, for example Paper Information), edit the Title. The Abstract, Keywords and Bio/Profile fields appear only when the paper's submission type uses them. Separate keywords with commas; use Show LaTeX Preview to check math in the abstract.

    Track — pick one of this program's tracks from the list, or No track. The list is the tracks set under Settings → Tracks. If the paper's saved track has since been renamed or removed, it is still listed, marked (not in this program's tracks), so opening the page never changes it by accident; pick a current track to move the paper.

    Submission Category — pick the paper's format (for example Full Paper or Short Paper). The choices are the formats set for this submission type under Settings → Submission Config; if the type has none, every format the program defines is offered. A category that is no longer offered stays listed, marked (no longer offered). If the program defines no formats at all, the field is free text.

    Under Co-Authors, edit a name or email, remove a co-author with the trash button, or click Add Co-Author.

    To accept, revise or reject a non-paper submission (or a proposal), use the Decision box on the Submission page, not this one: saving an edit never changes the status.

    Optionally add Admin Notes explaining the edit. Notes are visible only to organizers and are kept with the paper's edit history.

    Click Save Changes. You return to Submission Details, and its breadcrumb takes you back to the console tab you started from.

Tips

Moving papers between tracks

Track is the easiest thing to get wrong at submission time. Sort the All Submissions table by the Track column to spot papers with no track or the wrong one, then fix each from its Edit page.

What the page cannot change

The paper's submission type itself (for example Paper vs. Poster), its files, and its paper number are not edited here. The Submission Info panel shows the paper number, status, submission time and version for reference.

Decisions moved to the Submission page

The Decision box is on the Submission page (top right), next to Edit, Email Authors and Delete. Recording a decision there emails the submitter straight away; for a proposal, Accept also creates its sub-program.
