Composing & sending
Write, reply to, and forward Webmail messages — search for any registered user as a recipient, add CC/BCC and attachments, set a priority, and let reply/forward pre-fill the details for you.
Purpose
The compose window is where you write a new message or respond to one you've received. Any signed-in user can send Webmail — you search for recipients by name, write in a rich-text (or plain-text) editor, optionally attach files, and send. Recipients get the message in their inbox and an email notification.
When you use it
Compose whenever you need to reach someone directly — replying to an organizer, answering a chair's question, or writing to a co-author. Reply, Reply All, and Forward do the addressing for you; Compose starts a fresh message.
Walkthrough
- 1
Click Compose (the mail-with-plus icon) to open the compose window — or use Reply, Reply All, or Forward on a message you're reading to start with the recipients and subject already filled in.
- 2
In To, search for recipients by name, email, or organization. The picker looks across all registered users (not just the current conference) and shows each person's avatar, name, and email. Add as many as you need. Use Add CC/BCC to copy others.
- 3
Enter a Subject and write the Body in the rich-text editor (bold, italic, lists, links, and more) — or switch to plain text.
- 4
Optionally set the conference / program the message relates to and the sender role you're writing as (your roles in that conference appear in the dropdown), so recipients see the right context next to your name.
- 5
Attach files if needed, set a Priority — Low, Normal, High, or Urgent (Normal by default) — and send.
Tips
Reply addresses the original sender and prefixes the subject with "Re:". Reply All keeps everyone on the thread except you. Forward prefixes "Fwd:" and quotes the original body. They also carry over the conference and program context, so the message stays correctly filed.
When you send, the role you hold at that moment (e.g. PC Chair, Reviewer) is stamped on the message, and recipients see it next to your name. If you wear several hats in a conference, pick the right sender role so your message reads in the intended capacity.
Automatic platform messages (like "your submission was received") aren't from a person. If you reply to one, your message is routed to AirBalloon support rather than into an internal mailbox.
