CFP listing

Post and manage your conference's Call for Papers on the public Airballoon CFP directory — a free, themed listing page you can share anywhere.

Purpose

The CFP tab lets you post a Call for Papers listing for your conference on the public Airballoon CFP directory. The listing is a lightweight directory entry: you fill in a form, and Airballoon generates its own shareable listing page — your existing conference website stays exactly where it is. Listings are free to post.

The form supports a rich description, important dates, topics for directory filtering, featured media (a hero image and a YouTube video), and per-listing visual styling (theme, layout width, and hero title placement).

When you use it

Use this tab when you want researchers browsing the Airballoon CFP directory to discover your conference's call for submissions. Post a new listing when your call opens, and come back to edit it (deadlines change, topics shift) or to share the auto-generated URL.

Listings need a signed-in account

Posting a listing requires a signed-in Airballoon account so the platform can reach you about your submission. Inside the Web Chair Console you're already signed in, so the form is ready to use.

Walkthrough

    Open the Web Chair Console, pick your conference, and select the CFP tab.

    Fill in Conference identity — Title (required), plus optional Acronym, Year, Country, and Location.

    Set Important dates — the Submission deadline (required), and optional Conference start/end dates. The end date auto-bumps to stay on or after the start date.

    Optionally add a Conference website link — this informational link appears on the listing for readers who want general event details. (It's separate from the Airballoon listing page, which is generated for you.)

    Pick up to five Topics — these power filtering on the public directory.

    Write the CFP content in the rich-text editor — scope, topics of interest, submission instructions, committee, and so on. Basic HTML formatting is kept; disallowed tags (scripts, styles, iframes, inline images) are stripped on save.

    Optionally add Featured media — a hero image URL (https, ending in .jpg/.png/.webp/.gif) and a YouTube URL. Don't paste media into the content body; these fields place it automatically (image at the top, video under the content).

    Adjust Display & Layout — choose a Theme, Content width, and title font size. When a hero image is set, you can also pick the title placement (above or overlaid on the image), and for overlays, the title position and color, plus the video width.

    Enter a Contact email (required) — used only to verify the listing or reach you about moderation. It's pre-filled with your account email.

    Click Preview to see the live rendering, then Continue to policy, accept the listing policy in the modal, and submit.

    On success, a card shows your listing's status and its auto-generated URL — copy it to share, or open My listings to manage your listings later.

Editing re-triggers moderation

After a listing is approved, any later edit resets it to Pending review and sends it back through moderation — it stays live only once it's approved again. This keeps the public directory honest about what was reviewed. You can edit, withdraw, or share listings from the My CFPs page at any time.

Tips

Your first listing waits for review; later ones publish instantly

If you've never had a listing published, your first submission goes to Pending review and a moderator approves it (you'll get an email). Once you have any published listing, new submissions from your account publish immediately.

Style it, then preview

Set a Theme and Content width, add a hero image and a promo/keynote video, then use Preview to check the result before submitting — Preview uses the same renderer as the live page.

Submitting navigates within the directory

The success card links out to your listing, My listings, and the CFP directory. From those pages, use your browser back or the console navigation to return to the Web Chair Console.
