Refunds
Process bank-transfer refunds for cancelled registrations and audit Stripe refunds that were issued automatically.
Purpose
The Refunds sub-tab lists every cancelled registration that needs a refund or has already been refunded. Stripe (card) refunds are issued automatically when an attendee cancels, so they appear here for audit only. Bank-transfer refunds can't be sent automatically — you wire the money yourself, then record it here so the registration's status and your finance figures stay accurate.
When you use it
Use this sub-tab whenever an attendee cancels and is owed money. The oldest pending bank-transfer refunds sort to the top so the longest-waiting attendees surface first. The sub-tab badge on the Registrations tab shows how many refunds are still pending manual processing.
Marking a registration refunded here is a bookkeeping step. For bank-transfer payments you must wire the funds separately through your bank; this action only flips the record to REFUNDED.
Walkthrough
- 1
Open the Registrations tab and click the Refunds sub-tab. The banner at the top shows how many refunds are pending manual processing.
- 2
Review the table — registration number, attendee (with cancellation reason), payment method, when it was cancelled, the planned refund amount, and status (Refund Pending, Refunded, or Partial Refund).
- 3
For a row marked Refund Pending, send the funds to the attendee by wire transfer, then click Mark refunded.
- 4
In the dialog, confirm the recipient and amount. The Refund amount field defaults to the planned amount — lower it to record a partial refund. Optionally add a reference or note (wire reference, partial-refund reason).
- 5
Click Mark refunded, then Confirm in the warning dialog. The row flips to REFUNDED (or PARTIAL REFUND) and shows the refund date.
Confirming the dialog records the refund against the registration but does not move any money. Make sure you have actually wired the funds before you confirm, especially for bank-transfer payments.
Tips
- Card (Stripe) refunds land here already marked Refunded — there's nothing to action; they're listed for your audit trail.
- The amount field accepts a lower number for partial refunds — useful when an attendee has already consumed part of what they paid for (e.g. meal vouchers).
- Use the reference/note field to record the bank wire reference so you can reconcile against your bank statement later.
- An empty list means no registrations have been cancelled yet.
